At Vida we hope that you feel confident in how we handle your personal data. Therefore, we have created a privacy policy that describes how and why we process data. All processing of personal data is carried out in accordance with applicable laws.

 

Target group

Our policy covers anybody with whom we have, or would like to have, a commercial relationship. It applies to those who contact us with a matter that requires a response, or those who choose to participate in our events and other activities.

The data we save and why

We only save the data we deem necessary to manage our business relationship, to send out relevant information and offers, to provide feedback in a matter, and to provide high service. We also collect data if you apply for a job with us.

The data that may be collected includes, but is not limited to:

  • Contact details: name, address, phone number, email address
  • Property details
  • Work-related information: job role, employer, company contact information
  • Financial information: billing information, payment history
  • Information about business communication: correspondence between you and us, e.g., emails and meeting notes
  • Job applications: CV, cover letter, references, previous employment, education, skills.

 

How we collect personal data

We primarily store the data you have chosen to provide when you communicate with us.

Vida retrieves property data from the Lantmäteriets register once a year, including personal data for property owners. The register is updated once a year, and outdated information is then cleared from our systems.

In addition, we also retrieve data from other registers such as public company information, which may contain personal data.

 

Purpose and legal basis for processing

We process your data for various purposes and based on the following legal grounds:

  • To fulfill agreements with customers, suppliers, and partners in the forestry industry (Art. 6.1 b GDPR Agreement)
  • To fulfill legal obligations, such as accounting requirements and tax regulations (Art. 6.1 c GDPR Legal Obligation)
  • To conduct our business and marketing, including handling customer inquiries and informing about products and services (Art. 6.1 f GDPR Legitimate Interest).
  • With explicit consent for certain types of marketing or newsletters (Art. 6.1 a GDPR Consent). You can withdraw your consent at any time.
  • To handle recruitment of potential future employees (Art. 6.1 f GDPR Legitimate Interest). For spontaneous applications or if we wish to save your application for future recruitments, we save your data if you consent to this (Art. 6.1 a GDPR Consent). You can withdraw your consent at any time.

 

Storage and deletion of personal data

We store your personal data only as long as necessary to fulfill the purposes for which they were collected, or as long as we are required to do so by law. When the personal data is no longer needed, we delete it securely.

 

How we share personal data

We may share your personal data within our group to provide high-quality service. We may also share data with the following categories of third parties:

  • Service providers: IT services, payment processing, communication platforms, printing services
  • Public authorities: when we are required to do so by law

When sharing with third parties, we always ensure that adequate security measures are in place. Third parties to whom we share data are always required to process personal data in accordance with applicable data protection legislation and according to our instructions if they act as data processors on our behalf.
